Accurate event information
Clients should provide timely and accurate information relevant to the event brief, including dates, timings, guest numbers, venue details, access arrangements, special requirements and any material changes. Not every detail must be fixed at first contact, but the information available should be shared as it becomes known. Clear updates are essential to thoughtful planning and safe production delivery, allowing Table Virex to consider the evolving occasion with the appropriate care.
Venue permissions and suitability
Clients are responsible for obtaining or confirming permissions, approvals, access and venue information within their control. Where agreed, Table Virex can coordinate planning requirements for luxury venue styling, lighting, staging, themed décor and full event production. Venue constraints may affect equipment placement, layouts, staffing and timings. Early, accurate venue information helps us discuss those practical considerations, but does not transfer responsibility for venue licensing or approvals that remain outside our agreed scope.
Guest conduct and participation
Clients should help ensure that guests and attendees behave appropriately, follow reasonable venue, event, staff and safety instructions, and do not interfere with production equipment or personnel. Interactive entertainment depends on respectful participation from everyone present. Our professional hosts and entertainment staff may give reasonable directions to support a composed, enjoyable and workable event environment for guests, suppliers and the production team.
Accessibility, welfare and special requirements
Please share relevant accessibility, dietary, welfare, safeguarding or practical participation needs as early as reasonably possible. This gives Table Virex the opportunity to consider them within the agreed scope and alongside the venue and event format. We will approach disclosed needs thoughtfully, while recognising that arrangements may depend on the brief, venue conditions and available resources. Early communication is the best route to practical, inclusive planning.
